IndustryHQ LLC ("we," "us," or "our") provides IndustryHQ, an operations platform for field service and maintenance companies, available at industryhq.io, the admin web application at app.industryhq.io, the IndustryHQ companion iOS application for field teams, and IndustryClientHQ — our client-facing companion iOS application (collectively, the "Service").
This Privacy Policy explains what information we collect, how we use it, who we share it with, and the rights you have over your information. By using the Service, you agree to the practices described here.
IndustryHQ is a business-to-business (B2B) service. When a cleaning or maintenance company ("Customer") uses IndustryHQ, that Customer is the controller of the data it stores in the Service (including data about its clients, facilities, contractors, employees, and operations). We act as a processor of that data on the Customer's behalf. If you are an end user — for example, a contractor logged into the team iOS app, or a facility manager accessing IndustryClientHQ on behalf of your organization — the Customer decides what information is collected and shared with you. Please contact the Customer with questions about how they use IndustryHQ to process your information.
When you sign up or are invited, we collect your name, email address, and a password (which is hashed and stored by our authentication provider — we never see the plaintext). We also collect the organization you belong to and your role within that organization. Account information is collected for both Customer users (employees of the service company) and IndustryClientHQ users (the Customer's own clients invited to the client portal).
When a Customer invites one of their clients to IndustryClientHQ, we collect the client contact's name, email address, and the specific facilities or accounts the Customer has chosen to associate with that contact. IndustryClientHQ users only see information that the Customer has explicitly elected to share with them — typically upcoming visits, completed service reports, photos, and messages. IndustryClientHQ users cannot see records belonging to other clients of the Customer.
The Service is designed to store the data you choose to enter to run your business, including but not limited to: client and facility records, building and account numbers, contractor and employee records, job records, work orders (including photos and descriptions), supply requests, payroll entries, invoices, expenses, and income entries. Some of these fields contain personal information about your contractors, employees, or clients.
When users upload photos through work orders or other features, those files are stored in our cloud storage backend. Photos are encrypted at rest.
We maintain audit logs that record actions taken in the Service — for example, who created or edited a record, when, and which fields changed. Audit logs are visible only to company owners and are retained for 90 days. We also collect standard log data such as IP address, browser type, device identifiers, and timestamps when you interact with the Service, for security and reliability purposes.
The IndustryHQ iOS app (for field teams) and the IndustryClientHQ iOS app (for Customer clients) collect device identifiers and a push notification token so we can deliver notifications about assignments, status changes, service reports, and messages. The team app may also access the camera (only when you choose to take a photo) and the photo library (only when you choose to upload an existing photo). IndustryClientHQ does not access the camera or photo library by default.
We use the information we collect to:
We do not sell your personal information, and we do not use your business operations data to train machine-learning models or for advertising.
We take security seriously and apply industry-standard safeguards to protect your information:
No method of transmission or storage is perfectly secure. We cannot guarantee absolute security, but we work continuously to protect your information.
We retain your information for as long as your account is active or as needed to provide the Service. Specific retention rules include:
Depending on where you live, you may have the right to access, correct, delete, or export the personal information we hold about you, and to object to or restrict certain processing. Specifically:
If you are an end user (contractor or employee) of a company that uses IndustryHQ, please direct these requests to your employer first, since they control the underlying data. We will assist them in fulfilling your request.
To exercise any of these rights directly with us, email privacy@industryhq.io. We will respond within the timeframe required by applicable law.
Both the IndustryHQ iOS app (for field teams) and the IndustryClientHQ iOS app (for Customer clients) use Apple Push Notification service to deliver notifications about assignments, status changes, completed service reports, and messages. You can disable notifications at any time in the iOS Settings app under Notifications → IndustryHQ, or Notifications → IndustryClientHQ.
The IndustryHQ team app requests camera access only when you choose to take a photo, and photo library access only when you choose to upload an existing photo. You can revoke these permissions at any time in iOS Settings. IndustryClientHQ does not request camera or photo-library access by default.
The Service is not directed to individuals under 16, and we do not knowingly collect personal information from children. If you believe a child has provided personal information to us, please contact us at privacy@industryhq.io and we will delete it.
The Service is operated in the United States. If you access the Service from outside the United States, you understand and consent to the transfer of your information to the United States and to its processing on servers located there. The data protection laws in the United States may differ from those in your country.
We may update this Privacy Policy from time to time. When we do, we will revise the "Effective" date at the top of this page. If we make material changes, we will notify you by email or through the Service before the changes take effect.
